University email system to automatically protect secured information beginning Jan. 27

Loma Linda University will begin routing all outbound email through a data-loss prevention service beginning Monday, Jan. 27.

The data-loss prevention service will evaluate outbound email for specific text that is likely to be secured information, such as Social Security Numbers or a medical record numbers. Emails containing secured information will be rerouted to a secure email process that will invite email recipients to register to retrieve those messages.

If required to send email containing secured data, add [encrypt] to the subject line to force the message to complete the secured mail process. Recipients will be invited to register to retrieve the message.

The secured mail process will affect only mail leaving LLUH--email addresses not ending with @llu.edu. The majority of email will not be affected by this new process.
