Our goal is to make grant submissions more efficient for everyone by eliminating paper transmittals, hand signatures and reducing the number of emails our approvers receive.  January 2018 is our target date to have all approvers trained and using the new electronic approval process.

Approvers include investigator, chair (department head), school business official, dean and institutional official.

The Investigator Portal serves as a central location for access to all components related to your research at Loma Linda University Health.  Information is pulled from various databases into one convenient and easy-to-navigate system.

Phase I features:

  • Deadlines approaching for your projects, research education, and compliance requirements.
  • Listing of active projects and IRB and IACUC protocols with direct link into InfoEd.
  • Project financials with line-item detail updated daily.
  • Access to the Conflict of Interest and Education & Training systems.
  • Access to Time and Effort reporting

The portal is accessible from the Research Affairs website and from myllu.llu.edu under the Faculty Portal section.

Please note: the investigator portal is behind the firewall and can only be accessed on campus or through VPN.

Future enhancements to include:

  • quick-links to award documents and contracts
  • alerts for technical/financial reports
  • list of active subawards
  • spending burn-rates

6088:26290 <![CDATA[Research Affairs website update]]> Sherie Donahue When the institutional websites were converted last year to be more compatible with handheld electronic devices, we found that much of the Research Affairs content was not readily accessible and many links were inactive.  We sincerely apologize for the loss of function and regret any inconvenience that may have caused. 

The broken links have been corrected and the website is once again functional. Since the new look and layout of the website may still be unfamiliar,  we would like to remind researchers of other options to gain access to information and tools.  The original content is on the new website and accessible using the ‘search’ feature located on the top right of each Research Affairs webpage.

If that is not satisfactory, please call or email the section of Research Affairs that is related to your questions.  They will be happy to assist you.

6088:22601 <![CDATA[Direct Deposit (ACH) for LLU Employee Reimbursements]]> Trina Beckwith Did you know that you can elect to have your employee expense reimbursements deposited directly into your bank account? Signing up for direct deposit will reduce the time and effort required by you to pick up your reimbursement check from the LLU Accounting office and save you from making a trip to the bank to make a deposit.

Signing up for this service is optional, however, keep in mind that direct deposit payments benefit employees by giving them access to funds faster and more securely. You can set up direct deposit by going to LLU Accounting website: click on Forms & Docs, Forms, and open the Direct Deposit ACH Authorization Form. Complete the form and attach a copy of a check or voided check and submit to the LLU Accounting office.

Tips from LLU Accounting on completing Expense Reports and Payment Vouchers for employees that sign up for direct deposit reimbursements

Expense Report: In the mailing address field list home address and write ‘ACH’ and highlight the field so A/P will see it. 

Payment Voucher: Select ACH from the Payment Method dropdown menu.

6088:21659 <![CDATA[Electronic Signature - get yours today while supplies last!]]> JR> Krausz Research Affairs introduces the following help guides to get you started using electronic ("digital") signatures with ease.

Digital signatures allow you to put your name on an electronic form. When the user receives it, they can be assured that the document looks the same as when it was electronically signed by the sender.  In an academic medical environment like Loma Linda University Health there are many internal forms, communications and approvals where the addition of a digital signature is approporiate (*).  Since your digital signature is so easy to create, you may think of many situations where you would like to put one to use.

Here are the links to two resources to help you get started creating and using your electronic signature:       Quick video        "Cheat sheet"
 

  • First is a quick video, showing you step-by-step how to set up your digital signature.
     
  • Second, there is a "cheat sheet" with pictures of the key steps.  Keep this handy once you've watched the movie version, as a shorthand reminder of exactly what to do.

Please don't be afraid to set-up your digital signature, even if you've not done this before, as it really is very easy.

The main Researcher's Alert page, which contains the most recent stories, is located at http://myllu.llu.edu/newsletter-researchersalert/. The left side bar of that page contains a search box at the top which will allow investigators to easily search all Researcher's Alert stories. The stories are also arranged by topics and publication dates.

6088:18745 <![CDATA[LLeRA Environment has been upgraded to a new look]]> Sherie Donahue The LLeRA software has been upgraded and this is what investigators need to know.

  1. YOU WILL NEED TO CHANGE YOUR PASSWORD THE FIRST TIME THAT YOU LOG IN IF YOUR PASSWORD IS NOT AT LEAST 8 CHARACTERS LONG.Any new passwords must also  be at least 8 characters long.
  2. You will see a new look and functionality when you open individual protocols or proposals (e.g., screen layouts). Though the interface looks different, it is the same information. And don’t worry, any information previously enters is still in the record.
  3. If you still get the maintenance page that the system is undergoing the upgrade, please clear your browser cache and try again.

This amazing tool will allow you to find the answers to your research administration questions almost instantaneously! Ok, it really isn't a secret, but based on interactions I have had with our reseaarch community, I realize this is an underutiilzed feature on the current Research Affairs website and woudl like to formally introduce it.

On the Research Affairs website, the farthest right tab of the burgandy toolbar is called 'Search This Site.' This search feature will search only the Research Administration and Clinical Trial Center sections of the Loma Linda website. 6088:15822 <![CDATA[Tips to make your NIH RPPR (Progress Report) Submission Go Smoothly]]> Sherie Donahue NIH eSNAP progress reports have transitioned to the new RPPR format and non-SNAP are following soon (NOT-OD-14-079). Here are some steps to make sure the process goes smoothly and your RPPR is submitted on time.

1. Check your publications. All publications that received funding from NIH must be submitted to PubMed Central and have a PMCID assigned. Not sure what this means? See http://publicaccess.nih.gov/policy.htm.

Still have questions? Call Sherie Donahue (x83911 or sdonahue@llu.edu). Past experience has shown that it usually takes two weeks for the publications to get through the approval and tagging process, so plan accordingly.

2. Commons IDs. All key personnel, postdocs, and graduate students must have Commons IDs and it will take time to gather this information. If a Commons account needs to be created forward the name, LLU email address and role for that person to Sherie Donahue (x83911 or sdonahue@llu.edu).

3. The PI must initiate the RPPR report in the NIH Commons and then route it in order for it to be approved and submitted. These two steps can only be completed under the PI's login. Therefore, when you have completed your progress report, route the RPPR to your financial analyst for review. Not sure who your analyst is? Call x44589. Another good tip is to send an email to your financial analyst when the report is routed to confirm sure he/she is in the office.

4. Complete and route the RPPR early, at least 2-3 business days before it is due. This gives the Research Affairs office time to review and submit it by the deadline.

6088:16907 <![CDATA[Other Significant Contributor and Consultant definitions]]> Sherie Donahue There has (understandably) been considerable confusion about when to list personnel on a proposal as a Consultant or an Other Significant Contributor. First, let’s review a few definitions from NIH:

Senior/Key Personnel: The PD/PI and other individuals who contribute to the scientific development or execution of a project in a substantive, measurable way, whether or not they receive salaries or compensation under the grant. Typically these individuals have doctoral or other professional degrees, although individuals at the masters or baccalaureate level may be considered senior/key personnel if their involvement meets this definition. Consultants and those with a postdoctoral role also may be considered senior/key personnel if they meet this definition. "Zero percent" effort or "as needed" is not an acceptable level of involvement for senior/key personnel.

Non-key Personnel: Personnel (such as research assistants) not contributing in a substantive, measurable way to the scientific development or execution of the project.

Other Significant Contributor (OSC): Individuals who have committed to contribute to the scientific development or execution of the project, but are not committing any specified measurable effort (in person months) to the project. These individuals are typically presented at “effort of zero person months” or “as needed” (individuals with measurable effort cannot be listed as Other Significant Contributors).

Consultant: An individual who provides professional advice or services for a fee, but normally not as an employee of the engaging party. Consultants also include firms that provide professional advice or services.

Now here is the tricky part, Consultants can be listed as Key, Non-key or Other Significant Contributors. Principal Investigators must carefully review the role of the consultant to decide which of the three categories a consultant falls into. Letters of support

Provide all appropriate letters of support, including any letters necessary to demonstrate the support of consortium participants and collaborators such as Senior/Key Personnel and Other Significant Contributors included in the grant application. Letters are not required for personnel (such as research assistants) not contributing in a substantive, measurable way to the scientific development or execution of the project.  Letters should stipulate expectations for co-authorship, and whether cell lines, samples or other resources promised in the letter are freely available to other investigators in the scientific community or will be provided to the particular investigators only. For consultants, letters should include rate/charge for consulting services and level of effort/number of hours per year anticipated.  In addition, letters ensuring access to core facilities and resources should stipulate whether access will be provided as a fee-for-service.  Do not place these letters in the Appendix. Consultant biographical sketches should be in the Biographical Sketch section.
